SECURITY: Known Issues with Email Forwarding

Be advised that Google, Adobe, Oracle (Rice iO), NSF, Fidelity, and other 3rd party systems have elevated their security posture and email sender verification systems, which may result in emails which are automatically forwarded from your Rice email to external email services, such as Gmail, being blocked from delivery to you.  For example, emails for Adobe signatures, and notices from the NSF, TIAA, Fidelity, and likely many other sources that are sent to your Rice email account, will not properly forward to your personal Gmail account.  

The above issue with forwarding email is something that is beyond the control of Rice IT. Although we do not currently prevent forwarding for legacy Rice email accounts, OIT cannot guarantee email delivery outside of our Rice email systems or when using automatic email forwarding and is considered forward at your own risk.


All official Rice University electronic communications are sent to faculty and staff at their email address hosted on a Rice-provided email systems.  Even if you have your Rice email address configured to automatically forward externally, it is a condition of you being a member of the Rice community as a faculty, staff, or student to check your Rice-provided email account often; and maintain or remove content to meet storage quotas.  Any internal email the University sends to your Rice-provided email account is considered to have been received by you.


To ensure emails sent to individual's Rice-provided email accounts, are received, OIT will maintain a copy of email in your Inbox when configured for automatic forwarding.

When using your Rice provided email account including forwarding, consider the type of data you will discuss or attach to your email correspondence. Research and other data that is confidential or sensitive to the university should be handled with care to prevent data loss or leaks and follow Policy 808 Protection of University Data and Information  To protect sensitive Rice data, everyone with access to research data and other sensitive or confidential university information is automatically assigned to use the managed university email system.
