Zoom: How to Prevent and Remove Unapproved AI bots from Zoom Meetings

This document explains how to prevent and remove unapproved AI bots from your Zoom meetings to maintain privacy and security.

Here are several options to prevent and remove unapproved AI bots from your Zoom meetings. Bots like fireflies.ai, read.ai, and otter.ai can sometimes be used in Zoom meetings to record and summarize notes without permission from others in the meeting.

How To Prevent AI Bots from Joining Your Zoom Meeting:

Turn On the Waiting Room Feature 

  1. Sign into https://riceuniversity.zoom.us/
  2. Go to Settings -> Meetings -> Security
  3. Toggle on the Waiting Room feature 

Waiting Room: When participants join a meeting, place them in a waiting room and require the host to admit them individually. Enabling the waiting room automatically disables the setting for allowing participants to join before host.

Only Allow Authenticated Users 

  1. Sign into https://riceuniversity.zoom.us/
  2. Go to Settings -> Meetings -> Security
  3. Toggle On Only authenticated meeting participants and webinar attendees can join the meetings and webinars.

Block Specific Domains

You can block the domain of a vendor known to host AI bots, however, this may not always be sufficient to prevent their AI bots from joining your Zoom meeting. Some AI bot vendors are now using multiple or alternate domains.

  1. Sign into https://riceuniversity.zoom.us/
  2. Go to Settings -> Meetings -> Security
  3. Turn on Block users in specific domains from joining meetings and webinars.
  4. Add Domains to the block list (for example: fireflies.ai, read.ai, otter.ai)
  5. Click Save.

How to Remove AI bots from a Meeting

Remove a Participant from a Zoom Meeting or Webinar

Click Participants, click More beside the unwanted bot user, then click Remove.

 

Lock Your Session

This prevents additional users from joining. Click Security, then click Lock Meeting. Repeat to unlock the meeting.
