Overview

Zoom AI Companion is now available for most Rice University Zoom users. Zoom AI Companion uses generative artificial intelligence to compose responses, summarize meetings, and highlight information from notes. This article provides more information on the following features: Meeting Summary, AI Companion Questions, Smart Recording, and Whiteboard Content Generation features. Some sub-accounts may be limited due to compliance considerations, such as the Health Insurance Portability and Accountability Act (HIPAA). 

Meeting Summary

Meeting Summary with Zoom AI Companion uses AI technology, which may include third-party models, and allows meeting hosts to initiate an AI-generated summary of their meeting. When the host enables this feature in a meeting, participants may automatically receive a summary after the meeting ends, if the host chose to share the summary with participants. 

Enabling Meeting Summary

By default, Zoom Meeting Summary is turned off in your Zoom user settings.

To enable Meeting Summary in your Zoom settings:

  1. Sign in to the Rice Zoom web portal (https://riceuniversity.zoom.us/)

  2. Click Settings in the navigation menu.

  3. Click the AI Companion tab.

  4. Under Meeting, Click the Meeting Summary with AI Companion toggle under Meeting to enable or disable this feature.


Using Meeting Summary Options

You can also enable or disable the following options for Meeting Summary:

  • Automatically start Meeting Summary for all meetings I host

  • Include the full summary text in the email sent to users with one of the following options:

    • Only me (meeting host)

    • Only me (meeting host) and meeting invitees within Rice

    • All meeting invitees including those outside of Rice

  • Auto-delete meeting summaries (summaries are moved to trash in specified number of days)

  • Meeting questions with AI Companion
    • Allow hosts and invited participants to ask questions to AI Companion during a meeting.

    • Questions are answered based on the conversation transcript.

Smart Recording

The Smart Recording feature helps you to utilize AI technology to manage and analyze audio recordings. This feature is especially useful for long meetings and webinars such as a lecture, brainstorming session, or company all-hands where you may want to divvy up the recording for easier viewing.

The Smart Recording feature allows you to: 

  • Organize your cloud recording into sections called smart chapters
  • Get the key takeaways in a quick and digestible format through recording highlights
  • Identify action items to take after the meeting or webinar with next steps
  • Provide the host analytics on key meeting and conversation factors
    • Talk speed
    • Talk-listen ratio
    • Longest spiel (or monologue)
    • Filler word usage and patience


Enabling Smart Recording

By default, Smart Recording is turned off in your Zoom user settings.

To enable Smart Recording in your Zoom settings:

  1. Sign in to the Rice Zoom web portal (https://riceuniversity.zoom.us/)

  2. Click Settings in the navigation menu.

  3. Click the AI Companion tab.

  4. Click the Smart Recording with AI Companion toggle under Recording to enable or disable this feature.

Whiteboard

Whiteboards can become a more engaging experience by using the Whiteboard Content Generation with AI Companion feature. This feature can be used to generate ideas, refine and extend existing content, and add objects to a canvas with just one click.

By default, Whiteboard is turned off in your Zoom user settings.

To enable Whiteboard in your Zoom settings:

  1. Sign in to the Rice Zoom web portal (https://riceuniversity.zoom.us/)

  2. Click Settings in the Navigation menu.

  3. Click the AI Companion tab.

  4. Click the Whiteboard Content Generation with AI Companion toggle under Whiteboard to enable or disable this feature.
