Duo: Logging into Google Workspace for Education

Duo is a security authentication tool that adds an additional layer of protection to online accounts. This document provides instructions for logging into Rice's Google Workspace with your NetID and password with Duo. Affected services include Gmail, Google Calendar, Drive, and Photos.

What is Duo?

Duo is a tool used to improve security by using two-factor authentication (2FA), also called multi-factor authentication (MFA). Individuals are required to verify their identity by sharing something they know (i.e. userid and password) along with something they have (i.e. smartphone, tablet, landline telephone). This type of authentication protects Rice systems against cyber attacks. Duo helps protect against phishing, social engineering and password brute-force attacks and secures your logins from attackers exploiting weak or stolen credentials.

Once you have enrolled in Duo security, you can use it to securely access many campus systems, including Google Workspace for Education. Google Workspace is a brand of cloud computing, productivity and collaborations tools, software and products developed by Google. Not all of the applications found in a free Google account are available in Google Workspace for Education.

Step 1. Enroll in Duo

If you have previously set up Duo, skip to step 2.

Step 2. Login to Rice Google Workspace

Sign into the Google Workspace resource that you want to access using your NetID and password. If you have not logged into Google Workspace before, see Google Workspace for Education.

You will be redirected to the Rice Single Sign On (SSO) site. Please provide your NetID and password and select the Login button.

A prompt will appear notifying you to authenticate with Duo. You can elect to receive a push message or phone call, or you can use the Duo app to generate a 6-digit code. Push is the preferred method.

Within a few seconds, you will receive a push notification to your enrolled device. Select Approve to complete the process.

You should now have access to your Google Workspace resource.
