Rice Voicemail :: Telephone - Rice Voicemail

This document provides instructions on voicemail setup for your office telephone - internal, external, and temporary (i.e. vacation) greetings.

Set up Voicemail messages for your Rice telephone

If you will be away from your desk for an extended period of time, you may wish to set an Immediate Assistance Number so that any caller reaching your voice mail can touch "0" and be transferred to another person in your department. Once you have accessed your voice mailbox, touch 4 for Setup options then 5 for alternate contact numbers. To edit the transfer number touch pound and then touch 2 and enter the number you want callers transferred to followed by the pound key. You may wish to mention this in your vacation message, for example, "I am away from my office, you may leave me a message or touch "0" to reach my team member, Amy Anyname."

Changing your standard greeting

1. Use the speaker phone button or pick up the handset to get a dial tone.
2. Touch "Message" button on the left hand side of the phone or dial x3000.
3. Type in your password using the number buttons and then touch the pound sign button. (Note: If you are using a phone other than yours please press the * key followed by your four digit extension and pound sign. Then enter your password and pound sign).
4. Touch 4 for Setup Options.
5. Touch 1 for Greetings.
6. Touch 1 to re-record the standard greeting. This usually never changes after you set it up the first time during the enrollment process. Tip: write down your message before you start speaking. This will save you several re-do's!
7. Touch the pound sign to stop recording.
8. Touch * to exit. To re-record, touch 1.

Checking Messages while away from campus

1. Call 713.348.3000
2. Press the * key.
3. Type in your 4-digit phone extension followed by the pound sign.
4. Type in your password followed by the pound sign.
5. Listen to your messages. 
6. Delete any message you do not need to keep by pressing option 3 while the message is playing or at the end of the message.

Alternate greetings are great for Vacations

1. Use the speaker phone button or pick up the handset to get a dial tone.
2. Touch "Message" button on the left hand side of the phone or dial x3000.
3. Type in your 4-digit phone extension followed by the pound sign.
4. Type in your password followed by the pound sign.
5. Touch 4 for Setup Options.
6. Touch 1 for Greetings.
7. Touch 2 to turn on your Alternate Greeting.
8. Touch 1 to set an end date and time or pound for indefinite. (Note: These options are for when the alternate greeting with be deactivated.)
9. Touch 0 for later today, Touch 1 for tomorrow, Touch 2 for 2 days from now, and so on. Touch 9 to enter a month and day. 
10. Enter the time to the minute. (example 0400) for 4 o’clock
11. Touch 1 for am or Touch 2 for pm.

Back so soon?

1. If you return to the office before your alternate greeting expires or you set it to indefinite, you can turn off the alternate greeting manually.
2. Follow the steps to login to your voicemail.
3. Touch 4 for Setup Options.
4. Touch 1 for Greetings.
5. Touch 2 to turn off your Alternate Greeting.

Forgot to setup voice mail before you left?

Note:  If you are already off-campus, you can still set up your voice mail message.

Follow the steps to login to your voicemail from off-campus by dialing 713.348.3000.
1. Touch 4.
2. Touch 1.
3. Touch 2 for your alternate greeting and follow the rest of the steps above for alternate greetings.

Changing your PIN/password.

Follow the steps to login to your voicemail at your desk or from off-campus..
1. Touch 4 for Setup Options.
2. Touch 3 for Preferences.
3. Touch 1 to change your PIN.
